1. Introduction

1.1 This Privacy Policy ("Policy") explains how JITO Singapore ("JITO Singapore", "we", "us" or "our") collects, uses, discloses, processes and protects personal data in accordance with the Personal Data Protection Act 2012 of Singapore (the "PDPA") and other applicable laws.

1.2 This Policy applies to all members, prospective members, event participants, volunteers, donors, business contacts, website visitors and any other individuals whose personal data we collect ("you" or "your").

1.3 By providing your personal data to us, becoming or remaining a member, registering for or attending our events, using our website or otherwise engaging with us, you acknowledge that you have read and understood this Policy and consent to the collection, use and disclosure of your personal data as described here.

1.4 This Policy forms part of, and should be read together with, any membership terms, event terms, or other agreements between you and JITO Singapore. It does not override any obligations we may have under applicable law and does not create any contractual rights beyond those required by law.

2. Personal Data We Collect

2.1 "Personal data" means data, whether true or not, about an individual who can be identified from that data, or from that data and other information to which we have or are likely to have access.

2.2 Depending on your relationship with us, the personal data we may collect includes:

  • Identity and contact details: name, NRIC/FIN/passport number (where required by law or for verification), date of birth, gender, nationality, photograph, residential and mailing address, email address, and telephone or mobile number.
  • Membership and professional information: membership category and history, company or business name, designation, industry, business address, professional qualifications, and areas of interest.
  • Financial information: bank account details, payment card information, billing records, donation history and transaction records (collected and retained only as necessary for processing payments and record-keeping).
  • Event and participation data: event registrations, attendance records, dietary preferences, and photographs or video recordings taken at our events and activities.
  • Communications: correspondence, feedback, enquiries and any information you provide when you contact us.
  • Technical and website data: IP address, browser type, device information, and cookie data collected when you visit our website (see Section 10).

2.3 You are responsible for ensuring that all personal data you provide to us is accurate, complete and up to date. Where you provide us with personal data of any third party (for example, a spouse, family member, colleague or nominee), you represent and warrant that you have obtained that individual's consent for us to collect, use and disclose their personal data in accordance with this Policy.

3. How We Collect Personal Data

3.1 We may collect personal data:

  • directly from you when you apply for or renew membership, register for events, make payments or donations, complete forms, or communicate with us;
  • automatically when you use our website or digital platforms;
  • from third parties, including referrals, affiliated organisations, publicly available sources, and business partners, where permitted by law; and
  • through photographs, audio and video recordings taken at our events and activities.

4. Purposes for Collection, Use and Disclosure

4.1 We may collect, use and disclose your personal data for purposes reasonably necessary to operate and administer JITO Singapore, including to:

  • (a) process membership applications, renewals, cancellations and related administration;
  • (b) verify your identity and eligibility;
  • (c) organise, administer and promote events, programmes, meetings and activities;
  • (d) process payments, subscriptions, donations and refunds, and maintain accounting and financial records;
  • (e) communicate with you, including sending notices, updates, newsletters, invitations and administrative messages;
  • (f) facilitate networking and business connections among members, where relevant to our objects;
  • (g) produce membership directories, event materials, and marketing or publicity materials (including publishing photographs and recordings from our events);
  • (h) respond to your enquiries, feedback and requests;
  • (i) maintain and improve our website and services;
  • (j) comply with applicable laws, regulations, guidelines and requests from public or regulatory authorities;
  • (k) protect our rights, property and safety and those of our members and others, and to detect, prevent and address fraud, misconduct or security issues; and
  • (l) any other purpose for which you have provided consent, or which is permitted or required under the PDPA or other applicable law.

4.2 Deemed consent and exceptions. We may collect, use or disclose your personal data without your express consent where such collection, use or disclosure is permitted or required under the PDPA or other applicable law, including where consent is deemed to have been given, or where an exception applies (for example, for legitimate interests, business improvement, or where necessary to comply with legal obligations).

4.3 Where we intend to use your personal data for a purpose not described in this Policy, we will notify you and, where required by law, obtain your consent before doing so.

5. Disclosure of Personal Data

5.1 We may disclose your personal data to:

  • our office bearers, committee members, staff, and authorised volunteers, on a need-to-know basis;
  • affiliated, parent or related organisations for purposes consistent with this Policy;
  • third-party service providers and agents who perform services on our behalf (for example, payment processors, IT and hosting providers, event vendors, and professional advisers), subject to appropriate confidentiality and data protection obligations;
  • other members, where reasonably necessary to further our objects (for example, through a membership directory), subject to any preferences you have communicated to us;
  • public agencies, regulators, law enforcement, courts or other authorities where required or permitted by law; and
  • any party in connection with a reorganisation, merger, transfer or similar event involving JITO Singapore.

5.2 We will not sell your personal data to third parties.

6. Consent and Withdrawal of Consent

6.1 By providing your personal data and engaging with us, you consent to our collection, use and disclosure of your personal data for the purposes set out in this Policy.

6.2 You may withdraw your consent to the collection, use or disclosure of your personal data at any time by giving us reasonable written notice at the contact details in Section 12.

6.3 Please note that withdrawing your consent may result in our being unable to continue providing membership benefits, services or communications to you, and may result in the termination of your membership or of any arrangement you have with us. We will inform you of the likely consequences of withdrawal at the relevant time. Withdrawal of consent does not affect our right to continue to collect, use and disclose personal data where such collection, use or disclosure is permitted or required under applicable law.

7. Access to and Correction of Personal Data

7.1 Subject to the exceptions permitted under the PDPA, you may request access to the personal data we hold about you and information about the ways in which it has been used or disclosed within the preceding year, and you may request that we correct any error or omission in your personal data.

7.2 To make an access or correction request, or to request the removal of your data, please write to us at Jito.singapore@gmail.com. We may require you to verify your identity before processing your request, and we may charge a reasonable fee for an access request as permitted under the PDPA.

7.3 We will respond to your request within the timeframe required by law. We reserve the right to decline a request where an exception applies or where we are otherwise permitted or required by law to do so.

8. Protection of Personal Data

8.1 We make reasonable security arrangements to protect personal data in our possession or control against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks.

8.2 However, no method of transmission over the internet or method of electronic storage is completely secure. While we strive to protect your personal data, we cannot guarantee absolute security, and you provide your personal data to us at your own risk. To the fullest extent permitted by law, we shall not be liable for any unauthorised access to, or loss, misuse or alteration of, your personal data that occurs despite our reasonable security arrangements.

9. Retention of Personal Data

9.1 We retain your personal data for as long as it is necessary to fulfil the purposes for which it was collected, or as required or permitted by applicable laws, or for our legitimate business, legal, accounting or record-keeping purposes.

9.2 We will cease to retain personal data, or remove the means by which it can be associated with you, when retention is no longer necessary for any legal or business purpose.

10. Cookies and Website Data

10.1 Our website may use cookies and similar technologies to enable functionality, analyse usage and improve your experience. You may configure your browser to reject cookies, although this may affect the functionality of our website.

10.2 Our website may contain links to third-party websites. This Policy does not apply to those third-party websites, and we are not responsible for their privacy practices.

11. Transfers Outside Singapore

11.1 Your personal data may be transferred to, stored or processed outside Singapore (for example, by our service providers). Where we transfer personal data outside Singapore, we will take reasonable steps to ensure that the recipient provides a standard of protection comparable to that under the PDPA, or as otherwise permitted by law.

13.1 We may review and update this Policy from time to time at our sole discretion to reflect changes in our practices or applicable laws. The updated Policy will take effect from the date it is posted or otherwise communicated. Your continued engagement with us after any update constitutes your acknowledgement and acceptance of the revised Policy.

13.2 We encourage you to review this Policy periodically to stay informed about how we protect your personal data.

14. Governing Law

14.1 This Policy is governed by and construed in accordance with the laws of Singapore, and any disputes arising out of or in connection with it shall be subject to the exclusive jurisdiction of the courts of Singapore.
